When you’re planning your wedding, it’s easy to assume that the venue manager included with your location is the same as hiring a wedding coordinator. We hear this all the time and we totally get why it’s confusing!

But here’s the truth… Wedding coordinators and venue managers have completely different jobs & both play super important roles in making your day smooth, joyful, and exactly how you pictured it. At The Best Day Details, our whole mission is to make your wedding day feel effortless for you. So let’s break down the difference!

What Your Wedding Coordinator Does

A wedding coordinator is focused on you, your people, your vision, and making the entire day run smoothly. We step in long before your wedding day to learn what’s important to you, gather your details, and build a timeline that reflects your specific wants & needs.

Your Wedding Coordinator Handles:

  • Creating a detailed wedding day timeline
  • Confirming vendor arrivals & being their point of contact
  • Setting up & tearing down all of your personal décor
  • Making sure everyone knows where to be and when
  • Running your ceremony
  • Guiding the flow of your reception
  • Handling hiccups quietly so you never even know they happened
  • Supporting you, your wedding party, and your family from start to finish
  • & everything in-between!

What Your Venue Manager Does

Your venue manager is amazing and essential! But they handle all of the venue logistics. Their job is to protect the space, manage their staff, and make sure everything involving the venue goes smoothly.

Venue Managers Typically Handle:

  • Venue tours, contracts, and questions
  • Explaining what’s included (tables, chairs, linens, etc.)
  • Managing venue staff like bartenders or on-site teams
  • Ensuring the venue is clean, safe, and properly set up
  • Making sure all rules and policies are followed
  • Overseeing anything the venue provides directly

So Do You Really Need a Wedding Coordinator?

In our experience (and we’ve done a lot of weddings!), the answer is always: yes. And this is why …Without a coordinator, all of the day-of questions go straight you!

Hiring a coordinator keeps those interruptions away from you and makes sure your vendors, family, and wedding party always know what’s happening next. It also keeps your venue manager free to do their job, which makes the whole day run more smoothly for everyone.

Your wedding coordinator and your venue manager are both wonderful assets, but they play totally different roles in bringing your big day together.

A venue manager manages the space. A coordinator manages your day.

If you want a day where you can relax, soak it in, and enjoy every detail… that’s exactly what we’re here for!
