If you’re investing in a wedding coordinator, they shouldn’t disappear after the cake cutting or sneak out during the last song. They should be the last vendor walking out the doors.
Here’s why –
The Wedding Isn’t Over After the Formalities
A lot of people assume once the big moments are done, ceremony, dinner, speeches, first dances, the dance floor opens… your coordinator’s job is done.
But the final hours are just as important because:
• Vendors begin tearing down equipment
• Rentals are being counted
• Personal decor needs packing
• Cards and gifts need to be secured
• Transportation departures are coordinated
• Final payments or gratuities are distributed
Teardown is JUST as important as the set up.
And if no one is overseeing it? That’s when details fall through the cracks.
Someone Has to Protect Your Things
• The card box with envelopes
• Extra florals you want preserved
• Custom signage
• Family keepsakes
• Leftover cake
• Your marriage license
When couples don’t have a coordinator staying until the end, one of three things happens:
1 A family member gets stuck packing instead of enjoying the last dance.
2 A vendor assumes someone else is handling it.
3 Items get forgotten.
Vendors Need a Point Person Until the Very End
When tear down begins, vendors have questions:
• “Where do these rentals go?”
• “Is this greenery the couples or the florist’s?”
• “Who is taking the memorial table items?”
• “Can we give away this centerpiece? Or is the vase a rental?”
If your coordinator has already left, guess who gets those questions?
You.
Your coordinator staying until the end means:
• Vendors have one clear contact
• Wedding party has someone to go to for questions
• Rentals are properly accounted for
• Nothing is forgotten about
Transportation Logistics Do Not Happen On Their Own
Late-night shuttles & guest departures, they sound simple. They’re not.
Someone needs to:
• Make sure the final shuttle actually comes back
• Confirm no guests are left behind
• Help gather lingering personal items
• Ensure your grand exit setup is ready
“No one gets left at the venue on our watch” is the truest statement!
The Final Walkthrough Matters
Before we leave a venue we:
• Check bridal suites
• Check under tables
• Check bathrooms
• Check behind bars
• Check ceremony spaces
• Confirm gifts are loaded
• Confirm décor is packed
We don’t assume.
We verify.
The Stress Doesn’t Magically Disappear
Even if you’re off dancing, part of your brain is still wondering:
• Is everything getting packed?
• Are vendors finishing on time?
• Is someone handling the tips?
• Are is everything still going okay?
When you know your coordinator is still there, you can continue to relax.
You get to:
• Stay carefree on the dance floor
• Have one more drink
• Hug your people
• Soak it in
Without a worry in the world!
The Bottom Line?
Your wedding doesn’t end when the “formalities” are over.
It ends when:
• Your belongings are secured
• Vendors are properly wrapped
• The venue is closed out
• Guests are safely transported
• And you can leave without worrying about what’s behind you
Your coordinator should be the last one to leave because someone has to hold the day until the very end.
And it shouldn’t be you. 🤍
