100 Things You Didn’t Know Your Day of Coordinator Could Do For Your Wedding

We are there for you in so many ways on your wedding day. Not only do we offer the typical tasks included in a wedding coordination package, we also go above and beyond to help you. If you have been debating whether or not you need a day of coordinator to run your wedding, just take a look at the 100 tasks we perform for your wedding and I know you will see how valuable a coordinator can be to you! Essentially what you are paying for is two coordinator’s time, for unlimited hours on the wedding day. So as long as the task list you need us to complete is possible in the amount of time allotted by the venue, we are happy to do anything for your wedding day!

Your day-of wedding coordinator can…

  1. Create your timeline
  2. Go through all your wedding information to make sure everything can happen
  3. Do a venue-walkthrough with you so we understand the space
  4. Week-of confirmation and final timeline communication with all vendors
  5. Run your rehearsal
  6. Pick up floral arrangements (as long as they fit in our vehicle)
  7. Pick up desserts (as long as they fit in our vehicle)
  8. Pick up your linen/decor rentals (as long as they fit in our vehicle)
  9. Deliver morning-of breakfast
  10. Deliver morning-of coffee 
  11. Control access to bridal suite
  12. Deliver lunch
  13. Handle any last minute weather pivots
  14. Keep all vendors on timeline and alert you and your bridal party and family of start times
  15. Handle day-of decisions and improvisations
  16. Provide all emergency kit essentials
  17. Set up tables and chairs
  18. Lay linens (guest tables or just special tables)
  19. Double check chair and table numbers are correct
  20. Set out decor on special tables
  21. Set out all decor on guest tables
  22. Set place settings/glasses/napkins on each table
  23. Set out favors on each table
  24. Set out floral arrangements 
  25. Set out all signage
  26. Set out place cards
  27. Arrange greenery on guest tables
  28. Place all menu cards
  29. Install arch/arch decor
  30. Intercept and give instructions to all vendors
  31. Double check timeline with DJ upon arrival
  32. Work with photographer to coordinate first look

  37. Run ceremony sound (if equipment is provided and there is no DJ)

  44. Make sure guests fill the front aisles
  45. Wipe off ceremony chairs after rain
  46. Move guests to ceremony/cocktail hour/into reception
  47. Cue all bridal party and vendors for ceremony
  48. Fluff your train and veil before you head down the aisle
  49. Help line people up for family photos if no second shooter
  50. Pet sit during photos
  51. Bring you a water after the ceremony
  52. Hold on to marriage certificate
  53. Light candles
  54. Monitor escort card tables
  55. Save you appetizers
  56. Find seats for guests who forgot to rsvp
  57. Monitor gifts/cards table
  58. Pass out any final payments/tips
  59. Take care of any special guest needs
  60. Monitor photo booth/polaroid guest book

  73. Transfer all catering leftovers

  78. Confirm all special dance/event songs with DJ
  79. Record speeches/dances on your phone
  80. Clear empty drink cups, disposable plates, trash from guest tables
  81. Clear chargers from tables
  82. Pick up any drinks/mixers if the bar runs out of
  83. Clean up dance floor spills
  84. Deal with sensitive family issues or unruly guests
  85. Help monitor outside alcohol consumption 
  86. Check you into your hotel room (if close by)
  87. Help guests with shuttle access
  88. Arrange sparkler send off
  89. Pull around and pack your getaway car
  90. Ensure you don’t forget your bouquet 
  91. Communicate with shuttle driver
  92. Transfer all open bottles received from bartenders
  93. Save your cake top and get it safely in your car
  94. Pack up gifts and cards
  95. Venue trash removal
  96. Load all decor into your/your families vehicle at the end of the night
  97. Collect lost and found items
  98. Clean up the bridal suite
  99. Complete any tasks/checkout required by the venue manager
  100. Advocate for your preferences to all vendors/family/guests
